Better late than never! I don’t know why it took me this long, but it did and finally the post many of you have been waiting for! Everything you need to know about getting married at the Fairmont Orchid Kona!
I want to start things off by giving the people who made this day possible a huge Thank you! My Mom and Dad! Without you guys this day would not have been anything like it was! You not only helped us financially, but you helped us see what to look forward to in life, and what an amazing marriage looks like! You didn’t have to spend the money you did, or put the time and effort in you do! So thank you for being more than amazing and making Kyle and I’s wedding absolutely perfect! You moved heaven and earth for us and we can never thank you enough!
For Kyle and I, getting married at the Fairmont Orchid was a no brainer! If you haven’t yet read my post “Where We Will Say I Do ” then I highly recommend you do so you can get caught up on why we chose this place as our location, and now that it’s over and done with I am so glad we did!
I am writing this post because when we started getting down to planning and trying to make a budget we couldn’t find anything that gave us a true final cost. The hotel did have a price list but it didn’t exactly tell you everything you needed. When planning a wedding every last dollar counts, so having nothing to really go off of wasn’t very easy or cost effective!
We started by emailing the Fairmont Orchids wedding department, in no time we received an email back from Mew, who turned out to be our wedding planner. We emailed back and forth for a bit going over the options, locations and such that the Fairmont Orchid offered. The options now are a bit different, so the package that would be equivalent to ours is the “ Lehna ” package that they now offer.
– The Package We Picked Included –
The location ( we picked Coconut Grove ), Officiate for Ceremony, White Garden Chairs or Bamboo Chairs, Fruit Infused Water at Ceremony for Guests, Complimentary Suite Upgrade for Wedding Couple (based on availability), Complimentary Beach Cabana for One Day, Discounted Room Rates for Guests with Food & Beverage Minimum, Complimentary Custom Reservation Website to Share with Guests, Complimentary Indoor Backup Space Reserved.
Everything else you would want is an additional cost.
We had a steady communication with Mew. She would answer all our questions, get us quotes, as well as gave us a list of vendors, and let us talk to them directly or would help where it was needed. She was also there if we had any questions about previous wedding elements and her recommendations.
When it came to the theme and look, we thought we would have a catalogue to pick from. Nope, Pinterest was the answer for finding things such as flowers, table design and everything else we wanted. The Fairmont Orchid does have a wedding Pinterest page so you can get ideas there or anywhere else you wanted. Mom and I did find this a fun aspect that we wish wasn’t over!
Kyle and I ended up picking most of our ideas from all over Pinterest! We sent them all to Mew who would then tell us if it was even possible, where or who we could contact to make it happen. We did contact the florist direct and sent them what we wanted and they looped in Mew when the time was right! Everything else she handled for us!

Now for a little more detail!

We chose Pacific Dreams Photography after looking through the photography vendors and finding that they suited what we were looking for the best. We wanted light, bright but romantic and their profile matched exactly what we had in mind! Our photographer was Chris, he worked so hard, we had him running from rooms, laughing and working his butt off. He was a real trooper and we got some amazing shots.
Hawaiian wedding photography is not cheap and we tried to get the shortest amount of time recommended ( 2 hours ) but ended up adding 2 hours and wishing we had added even more. Don’t cheap out on photography, trust me!
Flowers: Grace Flowers Hawaii
Grace Flowers caught our eye right away! We had a few options for florists and after looking through all of their portfolios, we found Grace Flowers was the one for us! Everyone had beautiful flowers, but Grace Flowers had the exact look we were going for!
We sent them an email to see what they had planned for our date and if they were available to do our wedding! We included a picture of the arrangements and bouquets that we were looking for. Very quickly we got a response with a quote and they answered any questions we had! At the time the flowers I wanted were not in season and they very quickly let us know and recommended other options for flowers that would look just as nice!

The Fairmont has a list that goes on for miles when it comes to food, but we are a group of very simple eaters. We at first chose a plated dinner with beef and lobster. Then after some more browsing of the endless list we changed our mind to a buffet style dinner. ( we like to eat! )
We emailed Mew and asked if we could customize a buffet menu. The ones they already offered were a bit too fancy for our group of people. She asked us to send what we wanted and she would see what she could do for us! Boom, a very fast response and of course she would make everything happen.
We did have to pay a surcharge for a buffet under fifty people but we were not surprised by that since it was very clearly stated when reading the banquet menu.
– The Buffet Menu –
A Teppanyaki Station ( stir fry ) || A Beef Station || Caesar Salad Bar || Baked Potato Bar || Pasta Station
The final cost does include the two chefs needed for the Teppanyaki station as well as the Beef station. It also includes all the set up, linen ( we upgraded ), coffee and tea, and the location for dinner.
The Cake: Catered By The Fairmont Orchid
My favourite part! We had some amazing cake flavours to pick from that all sounded so delicious. Kyle and I ended up picking a two tiered 6″/ 10″ round cake with the flavours “Go Coco” a coconut cake with coconut syrup, and our second flavour ” Macnut Macnut Macnut ” that was a macadamian nut cake with buttercream and toasted macadamian nuts! IT WAS SO YUMMMY!
When it came to what the cake would look like we just sent a picture from pinterest to Mew and once again she made it happen! We gave her the cake topper that I got off Etsy the day before and that was that! It turned out better than imagined and Kyle and I were both so pleased!
We used the cake as our first dessert. It was sliced for us, put on the dessert table and all the leftovers we’re delivered to our room. Another delightful touch!
Dessert: S’mores on the beach
Have you had a s’more on the beach in Hawaii? Well we hadn’t and couldn’t give that opportunity up! Fresh homemade Liliko & Kona Coffee marshmallows… milk chocolate and graham crackers, how could you say no.
Since we weren’t a big enough group to have dancing or anything like that we thought this was the perfect finishing touch to the evening! It was $16 a person plus the fee for the fire pit. All completely worth it and a great way to end the night!
The Bar: Catered By The Fairmont Orchid
We decide to go with an open bar. Kyle and I just couldn’t see asking our guests to fly all the way to Hawaii and then wanting them to buck up and pay for drinks…. We are not big drinkers our selves, but we would never say “we don’t drink, so we aren’t paying”
The drink choices were great and we loved the bartender we got! Mew suggested we try a ” Juniour ” and it was a huge hit! Kyle and I made our own drink with the bartender that night called the MK Custom! It was a nice touch and very personal! The best part is we saw our bartender at the Luau a few days later! He remembered us and the MK custom!
The Little Upgrades
The Arch: $800
The arch was Kyle’s pick! He had to have it and would not budge! I will say now when I look back at photos and that day it definitely completed the look and I am so glad he wouldn’t give it up!
The Wooden Walkway: $700
This was my pick! When we first started looking at wedding ideas I was so stuck on having a wooden walkway! I have no idea why, but I just love the way it looks!
Ukulele Player 2 Hours: $600
This was a beautiful addition! It added a Hawaiian feel and the lady we got was absolute amazing! One thing we wish is that we got her for the whole night!
We did end up upgrading our table linens to a silver sparkle and blush pink instead of the original options that came offered. It added texture and I absolutely loved them!
Tiki Torches: $300
We opted for Tiki torches as our light source once it got dark! They added a true Hawaiian feel and a warm soft glow that I highly recommend!
The Things We Brought
StarFish Wedding Favours: $100
Our wedding favours took us awhile to come up with. We wanted something people could use, something meaningful and something that had the location and date! I hit up Pinterest and saw a bunch of different ideas that I mixed all together to create what we wanted! ( yes we made these! )
We got the starfish from amazon and painted them with sparkles. The wood tags I customized on Etsy and just attached to the starfish with pink ribbon! The best part is these look like starfish decor but they are actually a Christmas ornament. They have a small hole and we glued a hanger on the back for when people got home! I get a Christmas ornament everytime we travel so they had little meaning behind them too!
Welcome Table Decor: $50
I absolutely loved our little welcome table! It was covered in pictures of Kyle and I as well as two signs that I got made by KJH Creative! She was so accommodating and made exactly what I wanted! The picture frames all came from amazon as well!
Guest Book: $100
Kyle and I didn’t want a standard guest book, so we got two large letters made up that people could sign! They came with a little plaque that explained what the letters were for and two silver sharpies! I found them on Etsy and decided to order them off the actual site due to getting custom sizes!
Chair Signs: $55
This one was all my dad! I was looking and looking and couldn’t find exactly what I wanted so he took it upon himself to make his own! They turned out amazing and better then I could have imagined!
Well I think thats it! I must say overall the whole planning process was pretty fun and honestly no stress at all. There are a few things I would have changed but other than that the day was amazing! Mew made dreams come true and the whole thing so stress free. I couldn’t have asked for a better wedding planner, any more of a beautiful location and he’s pretty perfect too!
